Rental Management

Park Avenue Catering can manage and co-ordinate any rentals required in addition to what your venue includes.

When preparing an initial proposal/contract, we often know whether we should include or exclude rentals as part of the quote. If we have contracted with the client prior to them engaging your services, we request that the rentals are left on our contract. Some exceptions apply to this based on how much work has already been done to secure and manage changes to the existing order.

We have two dedicated team members that manage our in-house inventory and all 3rd party rentals. As soon as the event is booked, we secure an order with delivery/pick up days scheduled.

We do charge for set up and breakdown of all tables and chairs, or will contract with the rental company to manage this function.

We always include remote kitchen charges on our contracts at a significant savings to your client. Our basic kitchen fee includes ovens, tables, basic lighting and standard pop up tent/s. It DOES NOT Include rain tenting/siding/lighting for inclement weather. Please read our inclement weather policy.

We are happy for our planner partners to manage client rental orders instead of Park Avenue, or a combination of both planner and Park Avenue.

Some reminders If you are managing rentals:

  • Do not forget to contract with the rental company for set up and breakdown or have us add it to our contract

  • We do not set up or move rented or venue owned farm tables, wooden bar fronts, shelving, furniture, hedges, or lighting. 

  • We do not automatically set up umbrellas or move patio heaters into place.

  • Shade needed for bars 

  • Not only does this impact wine temperature, the ability to chill alcohol in a short amount of time, and the usability of glassware, but also and most importantly, it’s even more critical for the health and safety of our staff. On hot days, working in direct sun for hours can lead to sunburn, dehydration, and heat-related issues. It is essential that shade is in place at the bar from the very start of setup. Please ensure shade is included for bars, during setup and service. 

  • Sufficient Lighting for Back of House Areas and Bars

  • Especially at private residences, lighting for back of house bussing,kitchen areas and bar is is often overlooked

  • Chair Rentals

  • As a general rule, we do not transfer chairs from ceremony to dining tables. During this transition our team is focused on tray passing hors d’oeuvres during the reception and getting the final touches completed in the dining area so we are ready for service.  

  • We do not account for extra time to unbag and re-bag chair rentals. If this is something required by our team, please let us know so we can charge and plan accordingly. Additional charges post event will occur if our team is expected to do this without prior notice.

  • China & Flatware: Build in Overage

  • Exact counts leave no room for error. We recommend ordering overage on all china, flatware, and napkins to account for breakage or last-minute additions.
